Directions to Create Competency for Being Professional Project Managers
Section 2: Corrective and Preventive Actions

As referred to in significant procedures of Project Management Body of Knowledge (PMBOK), PMBOK stresses that professional project managers are able to utilize tools provided in order to evaluate work performances in their projects and to compare the results of evaluation to the specified plans. Work performances may not be as planned owing to, for example, delayed activities, increasing project costs, uncertain and infinite expanding project scopes, uncooperative stakeholders, unqualified delivery or difficulties on team operation, etc. What project managers should do is to go through Integrated Change Control Process. The main purpose of this change is for managing various changes and solving or keeping away problems in projects. Activities used in PMBOK are Corrective and Preventive Actions. Both activities are dissimilar as the following details:
            Corrective action is focusing on problem solving by considering mainly on current effects. Corrective action helps solving problems to further continue with normal processes. However, it does not find true causes of the problem for upcoming preparation. Advantages of corrective action are fast and simple problem solving as well as time saving on cause analysis. Its disadvantage is that it is not certain that same problems will not happen again. Project managers with good corrective action can excellently handle immediate problems. Corrective action is a good guideline for short-term problem solving, but they should additionally practice problem solving using Preventive Action.
           Preventive action is to solve problem at root cause, exactly at its origin in order to prevent problems to happen in the future. Due to the fact that this action needs enough time to accumulate information to do Root Cause Analysis and to indicate methods for preventing problems at its causes, it is not suitable for problems which require urgent solutions. On the other hand, the advantage of preventive action is it helps solve problems permanently. Project managers can reassure those problems will not happen again. It is a good direction to solve problems in the long run.

Moreover, sensible project managers should promote work improvement skills of both corrective and preventive project management trainingactions among all members in their projects. They can be confident that project problems will be corrected in time and will be analyzed to find root causes so as to prevent these problems in the future. This will lead to higher successful opportunities of their projects. However, in the actual implementation, team members or even project managers themselves usually solve problems using corrective action. They do not have sufficient time to analyze root causes because of various conditions on workload and limited timeline. Problems repeatedly occur and then effect on manpower and resource losses in order to solve repeated problems. These problems will consequently become repeating cycles and seriously involve the whole projects. If professional project managers would like to eliminate these kinds of problems, they should always find root causes of all problems and use Integrated Change Control process. Lastly, they make sure that all change management activities truly resolve problems at their root causes.
